All changes and cancellations must be made IN WRITING to your designated travel agent BEFORE the deadline listed above.

The non-refundable amount to be paid will be advised at the time of booking and is available on your invoice once your booking has been made.

Portions of your vacation may be non-refundable such as excursions, transfers, flights, accommodation options, room upgrades, late check-out, theme park tickets and airport parking.

We reserve the right to charge any additional change or cancellation fees charged by a supplier. Please note that all departure taxes and travel related fees are non-refundable.

Refunds will not be issued for bookings cancelled by you or Sunwing/Sunwing Vacations resulting from an act of God or an Event of Force Majeure.

Booking Modification:

31-72 days prior to departure, $150 per change per person will apply + any change fees by Sunwing

30 days or less before travel commences and thereafter, a change to travel date, departure or arrival airport, or hotel is considered a cancellation and full cancellation penalties apply

Name corrections and name changes

A valid name correction or name change includes one of the following:

a legal name change,
a married name change,
a typo in the name made by either the customer or agent,
a missing name detail such as a middle name.

Applicable fees for name corrections or name changes are as follows:

29-67 days or more before departure, a $150 fee on the booking applies per change***.
16-28 days before departure, a $100 fee on the booking applies per change***.
15 days or less before departure, any change is considered a cancellation and full cancellation fees apply.

Changes to room occupancy

Changes to hotel room occupancy are considered a cancellation and rebooking by our hotel suppliers; therefore, pricing at the time of the occupancy change will apply to all occupants of the room and may incur an additional change fee of $150 per person. If an occupant in a room cancels, that person will be subject to cancellation fees at the time of their cancellation. An additional occupant to the room, if allowed by the tour operator, will be subject to system pricing at that time. In both cases, remaining room occupants will be subject to new pricing as follows:

If the new price per person is lower, existing occupants will be refunded the difference less the change fee.
If the new price per person is higher, existing occupants will have to pay the difference and the change fee will be waived.

No changes are allowed at 30 days or less to departure

If you are travelling on another airline other than Sunwing Airlines, different policies and terms and conditions may apply.

Hotel Room

You are guaranteed the room category for which you have booked and paid for however, sometimes hotels over-sell themselves. In this event, they will upgrade you complimentary to their next available room category. It is also very important to note that room requests such as king size beds, adjoining rooms and location of the room will be submitted to the hotel on your behalf but are NOT guaranteed. These are allocated by the hotel upon check-in. Any and all hotel-related issues MUST be addressed with hotel management directly at the time of their occurrence as most often we can not assist with resolving such matters after your return and after the occurrence and especially if you did not bring it to their attention at the time. They are best equipped to satisfy your needs while you are there.

Deposits:

Deposit is required at time of booking.  This confirms your spot in the group, and you are considered a confirmed attending guest.  Deposits are 100% non-refundable, non-transferrable and are required to hold space. If you are unable to attend the wedding you need to notify Romantic Planet Vacations immediately, so that we can remove you from the manifest, and open it up for another guest.  Your deposit is non refundable, failure to advise us that you are unable to attend, will result in a cancellation penalty of 50% up to 100% of your total invoice.

Final Payment:

Final payment is due on the date indicated on your invoice. Any passengers who have not paid in full by this date can be cancelled without notice.  It is your responsibility to pay your remainder on time.  We reserve the right to cancel group space if you fail to comply with the payment schedule or other requirements outlined in this agreement. Penalties as outlined in this contract would apply.

All payments must be received in the group before any travel documents can be released. Failure to pay by this date could result in cancellation of your booking. You are welcome to make additional payments prior between the deposit and final payment dates if you wish.

 NO CHANGES permitted for confirmed passengers 7 DAYS prior to FINAL payment

Tickets / Documents

No tickets will be released until Romantic Planet Vacations and the tour operator has received all payments for the group.

Travel Insurance Rates:

Some cancellation polices must be purchased at the time of the travel booking deposit paid. Please be sure to read the policy details.

Group Rates:

Group rates are only valid with a minimum of 12 passengers and 6 rooms, departing on the same date and traveling to the same destination and/or returning on the same date from the same destination. If the group falls below 12, the rates will revert back to brochure rates and all passengers will be required to pay the difference.

Prices:

Prices are only valid for those seats originally booked.  Any additional passengers are subject to current fares & taxes and availability.   Prices are guaranteed for the passengers who are under deposit and appear on the contract/manifest.  Passengers adding on to the group thereafter may be subject to increases for matters over which The Tour Operator / Romantic Planet Vacations has no control, including, but not limited to fuel surcharges, government taxes and currency fluctuations.

Taxes:

Taxes are subject to change without notice.  The operator has the right to increase where needed.  The only way to guarantee your rate is to pay in full at time of booking.

Seat Selection:

There is an additional charge for seat selection and upgrades where available. 

Group space is allocated near the rear of the aircraft, assigned by the tour operator. It is not guaranteed that you are seated with who you are booked with. 

Please note, the airline reserves the right to adjust the seat numbers reserved in the case of an aircraft type change or routing change. Romantic Planet Vacations cannot be held liable for any changes made by the airline to seat numbers or seating arrangements made with advance seat selection.

Arrangements for excess baggage or sporting equipment must be made in advance of travel due to aircraft limitation. Failure to confirm these requirements in advance may result in refusal by the air carrier at the airport

Downgrades

Downgrade on rates/rooms will not be permitted for any group file.

Upgrades

Upgrades on rates/rooms/duration may be permitted, however on request, and at an additional cost.

Sold Out / Stop Sell

In stop-sell situations, the tour operators reserve the right to request names prior to the due dates if the hotel has been stop-sold.

Failure to do so will result in non-availability for all rooms without names. Once a stop-sell is in effect, changes are NOT permitted

Unsold Group Space

Romantic Planet Vacations and the Tour Operator reserve the right to retract any unsold group space, at anytime, should they require doing so.
